Developing A SaaS For Company-Wide Coaching

One platform that pairs each employee with the right coach, then handles the booking, the licenses and the Zoom sessions end to end.

About the project

Work and Grow gives organisations a way to bring professional development coaching to every level of the business, not just the executive team. Employees can be coached by internal coaches inside their own company or by Work and Grow's vetted pool of external executive coaches.

We built the platform that runs it. From onboarding and coach matching through licensing, booking and the educational content library, we designed and developed the product end to end between June 2023 and February 2024.

The challenge

Coaching only works when the coachee is paired with the right coach, and doing that by hand does not scale across a whole organisation. Work and Grow needed the matching, the licensing rules and the session logistics to run as one product, so that an employee could go from signing up to sitting in a coaching session without a person brokering every step.

The platform also had to support two distinct commercial models, program licenses and session licenses, and keep coach-coachee conversation off-platform while still owning the booking and the session itself.

Onboarding

A guided start that feeds the match.

Onboarding is the first step and the foundation for everything after it. We built a flow that collects the parameters the matching algorithm needs, industry and license type, so the data captured at sign-up directly drives who the coachee is paired with. No separate setup, no manual profiling step.

Coach matching

The right coach, chosen by the platform.

After onboarding, the matching engine pairs coachee and coach against set parameters, industry and license type, instead of leaving the choice to manual coordination. It works for both sides of the marketplace: internal coaches within a company and Work and Grow's external executive coaches.

This is the feature that turns a directory of coaches into a coaching platform.

Licenses and packages

Two license types, built for how coaching is actually sold.

Work and Grow sells coaching as packages and subscriptions, so the platform supports two license models. A program license bundles one 30-minute chemistry session with four one-hour coaching sessions. A session license covers standalone bookings.

The licensing rules sit underneath booking and matching, so what a coachee can book is always governed by the license they hold.

Booking and sessions (Zoom)

Book it on the platform. Run it on Zoom.

Coachees book and manage sessions inside the platform, and the sessions themselves run over an embedded Zoom integration. Direct messaging between users stays off the platform by design, so the product owns scheduling and the session, not the back-and-forth chat. That keeps the experience focused: find a coach, book the time, join the call.

Article CMS

A curated learning library, gated to the right readers.

Beyond coaching sessions, the platform has an educational side: a content section where the Work and Grow team uploads relevant articles, including Financial Times material, visible to specific user groups. We built a custom CMS so the team can publish and control who sees what, without a developer in the loop.
